How to view your Supplier Invoice Timeline?

Track every action on your verified supplier invoices for full audit traceability.

Overview

The Supplier Invoice Timeline displays key actions taken on your verified invoices. It provides an organized audit trail showing what was done, when, and by whom.

Using the Supplier Invoice Timeline

  1. Open an invoice: Navigate to a verified invoice in your Accounts Payables dashboard.

  2. Access the timeline: Click the timeline icon or section within the invoice detail view.

  3. Review actions: Each entry shows the action type (e.g., import, verification, mark as paid), the date, and the user who performed the action.

Action Details

  • Tracked actions:
    Import (note: imported emails won’t display the source address)
    Verification
    Mark as Paid
    Add to Payable Transactions
    Attach Credit Notes (credit notes themselves do not have a dedicated timeline)
    Attach Purchase Orders
    Create Instalments
    Edit Invoice
    Change Status (if the status changes automatically to Paid, no email is shown)

  • Not tracked:
    • Reconciliation actions are not displayed.

Limitations

  • Only actions performed after August 1, 2023 are tracked.

  • Actions by Agicap team members may appear under your email.

Why are some actions missing from my timeline?

Only actions performed after August 1, 2023 are displayed. Actions before that date are not tracked, and reconciliation actions are not shown.

Why don’t credit notes appear in the timeline?

Credit note attachments are recorded but do not generate a dedicated timeline entry.

What does it mean when my email appears for an action performed by Agicapians?

If Agicap team members perform an action, the system records it under your email for consistency in your audit trail.

How can I get more details about a specific action?

Click or hover over the action entry in the timeline to view additional details such as exact date and time, and further context on the operation.
