Add a transaction from the Verified invoices tab
Go to Accounts Payables and open the Verified tab.
Find the invoice you want to pay and click Add to Payable Transactions.
The invoice is now locked, and you can’t modify it unless you remove it from the Payables first.
Add a transaction from the Expected tab in Cashflow
Head to Cashflow and open the Expected tab.
Locate the existing or synced transaction you want to pay and select Add to Payable Transactions.
This feature is only visible if at least one payment option is activated in your account.
Only Admin users or those with the Prepare Payments permission can add transactions to the Payables.
What happens once a transaction is in Payables?
The transaction shows a Ready to pay in Agicap label until it’s fully paid.
Clicking Add to Payable Transactions locks the invoice: you can only download or delete it in the Verified tab (to delete it, you have to delete the payment from the to prepare tab, then go back to the verified tab and click on delete)
To modify any invoice details, you must first remove it from the Payable Transactions, make changes in the Verified tab, then re-add it.
For invoices with multiple instalments, the instalment number will be displayed (e.g., "Invoice B 1/2"). For single instalment invoices, no suffix will appear (e.g., "Invoice A").
Trial Period availability
When you first sign up for Agicap or activate a trial, you can experience the Add to Payable Transactions process and test Payments.
You can add and pay up to 50 invoices through Supplier Invoice Management and Payment XML Export during this trial.
Other payment methods (like pivot account or EBICS) require a onboarding and are not included in the trial.

Use the Verified and Expected tabs to easily keep track of which invoices need payment soon.
Double-check invoice details before adding to Payables to avoid having to remove and re-add them.
If you need multiple users to prepare or manage payments, grant them the Prepare Payments permission in User Management.

Can I modify an invoice after adding it to Payables?
You must first remove it from Payables in the Payments tab. Then go back to the Verified tab, make your edits, and re-add the invoice.
What if I delete a verified invoice already added to Payables?
You need to delete the created payment in the payment tab and after that you can delete the invoice in the verified tab.
How long does the invoice remain with the “Ready to pay in Agicap” label?
The label stays until the invoice is actually paid. Payment statuses are handled automatically in Agicap once the payment process is completed.
Who can add invoices to the Payables Transactions?
An Admin or any user with the Prepare Payments permission. You’ll need at least one Agicap payment option (XML Export, EBICS, or Pivot Account) enabled to see this feature.
