How to monitor your daily account balances with color-coded thresholds?

Use the Balance summary & graph in CashFlow to instantly spot risks of overdraft, optimize cash usage, and plan balancing actions.

How it works

  • You see each account’s short-term balance from -7 days to +30 days in a single table.

  • Colors instantly highlight threshold breaches:

    • Red 🔴 for below authorized overdraft

    • Orange 🟠 for low balance

    • Purple 🟣 for excess balance

  • Click any day’s balance to list transactions in descending order of amount.

  • Adjust forecast items right there by moving or rescheduling expected transactions.

How to define thresholds

  1. Select the three dots. Select manage thresholds

  2. Choose an authorized overdraft (defaults to 0).

  3. (Optional) Set a low cashflow threshold🟠 and a cash excess threshold🟣.

  4. Use the same threshold if you want a single target balance or define two different values for a range.

How to use filters

  • Filter by currency, account type, or cash pool.

  • Show only one account to focus on specific balances.

  • Hide all expected transactions, or just late ones, if you need a purely actual view.

How to create manual balancing transfers

  1. Select an account and a day in the summary.

  2. Click “Create a balancing transfer”.

  3. Enter the amount, choose the destination account, and confirm.

  4. Two matching expected transactions (outflow for one account, inflow for the other) are created automatically.

  • If the Payments feature is enabled and you have “Prepare payments” permission, you can directly send these transfers to payment.

Placeholder accounts

  • Some incoming/outgoing flows sit on a placeholder account until you assign them to a real bank account.

  • Find these unassigned items in a dedicated row labeled Placeholder.

Multi-currency balances

  • Each account shows up in its original currency.

  • Symbols (€, $, £) appear if they’re the only currencies involved. Otherwise, the currency code (e.g., USD, EUR) is shown.

  • The “All accounts” row sums everything in a chosen consolidation currency, using daily exchange rates.

💡 Tips

  • Hover over a balance to display details before opening its daily view.

  • Plan around weekends and non-working days if you’ve set them up.

  • Maintain your expected transactions to ensure accurate day-by-day forecasting.

FAQ ❓

What if I only want to see my most critical accounts?

Use the Filters button and select either the specific accounts or types you want to analyze, such as “Current accounts.”

Can I add or update thresholds later?

Yes. In your bank account settings, adjust authorized overdraft, low cashflow threshold🟠, or excess threshold🟣 at any time.

How do I exclude expected transactions for a purely actual balance?

Select “Exclude all expected transactions” in the filter options. This hides all forecasts, including any manual or placeholder flows.

Am I able to reverse a balancing transfer I created?

Yes. Locate the expected transactions created by that transfer (inflow and outflow) and delete or edit them to adjust your balance.
