What Are Scenarios?
Agicap's Scenarios feature allows you to create alternative versions of your cashflow plan. This helps you simulate different financial situations, such as best-case or worst-case scenarios, and compare them against your main plan.
Creating an Alternative Scenario
To create an alternative scenario:
In the Cashflow Plan, click on the Main scenario button at the top of the screen.
Choose + Create new scenario.
In the new window, enter a Name, select a Color, and choose the Parent Scenario. The parent scenario can be the Main Scenario or any existing alternative scenario.
The new scenario will be linked to its parent scenario. It will duplicate the forecast, paid transactions, and expected transactions from the parent scenario.
Creating a Frozen Scenario
You can copy and freeze the forecast of a scenario to compare it later with the actual figures:
Forecast values in a frozen scenario cannot be edited, and calculations can’t be refreshed.
Expected transactions are not included in frozen scenarios.
KPIs are not available in frozen scenarios.
Comparison to actual figures is made using the completion rates in the Cashflow Plan and exports.
To create a frozen scenario:
In the Cashflow Plan, click on the Main scenario button.
Select Create a frozen copy.
Exporting a Scenario
You can export scenario data for further analysis:
Up to 4 scenarios can be exported at the same time.
Export by bank account is not available for scenarios.
To export data:
Go to Export my data.
Choose the Simple export type.
Select the data you want to export, such as:
Cashflow plan
Actual vs. Forecast report
Paid transactions list
Expected transactions list
KPIs
Forecast (raw data)
Importing into a Scenario
To create scenarios more efficiently, you can import data directly:
P&L: Select your scenario during the P&L import.
Forecast: Name the Excel or Google Sheets tab with the scenario's name.
KPIs: Name the Excel or Google Sheets tab with the scenario's name.
Using Scenarios in Consolidation
You can include alternative scenarios in a consolidation. Just select them in your consolidation settings to see the combined impact across multiple scenarios.
Synchronization Between Main and Linked Scenarios
Forecast
Forecast values from the parent scenario are imported into the linked scenario when created.
If you modify a forecast value in the linked scenario, it becomes independent from the parent scenario.
Changes in the parent scenario will propagate to the linked scenario only if the corresponding cell hasn't been modified in the linked scenario.
Paid Transactions
Paid transactions from the parent scenario are included in linked scenarios.
You cannot edit, create, or delete paid transactions in alternative scenarios.
Changes made to paid transactions in the parent scenario will reflect in linked scenarios.
Expected Transactions
Expected transactions from the parent scenario are included in linked scenarios.
If you create, delete, or modify expected transactions in the parent scenario, changes will apply to linked scenarios unless the transaction has been modified in the linked scenario.
Modifications to fields like Amount, Payment Date, or Category will propagate to linked scenarios.
Changes to other fields (e.g., Name, Invoicing Date, Memo) will not propagate.
Manual KPIs
Manual KPIs from the parent scenario are included in linked scenarios.
Modifying a manual KPI in a linked scenario does not affect the parent scenario.
Formulas and Scenarios
Forecast and KPI formulas are linked to the entity, not to a specific scenario.
Adding a formula in an alternative scenario will also create it in all scenarios of the entity.
Be cautious when adding formulas, as they can overwrite manual forecast values in other scenarios.

Best Practice: Before making extensive changes to formulas or forecasts, export your data to have a backup.
Use scenarios to simulate different financial outcomes, such as changes in sales or expenses.
Remember, you can't reference values from other scenarios in formulas.
FAQ ❓
Can I delete a scenario?
Yes, but you cannot delete a scenario if expected transactions are associated with a project in that scenario. To proceed, dissociate those expected transactions from the project in the scenario, and then delete the scenario.
Why can't I edit paid transactions in an alternative scenario?
Paid transactions are synchronized from the main scenario to ensure consistency. To edit paid transactions, make the changes in the main scenario, and they will reflect in all linked alternative scenarios.
How do I compare a frozen scenario to actual figures?
Use the Completion Rates in the Cashflow Plan or in your exports to compare your frozen scenario's forecast to the actual figures.
