How to Enhance Payment Security with Validation Rules in Agicap? 💡

By creating validation rules, you can enhance the security of your payments on Agicap.

What Are Validation Rules?

Validation rules add an extra layer of security by requiring specific users to validate payments that exceed predetermined amounts. This helps prevent unauthorized or unintended large payments, giving you better control over your cash flow.

How to Create a Validation Rule 📝

  1. Go to AP Settings in your Agicap account.

  2. Select Payment Validation Rules.

  3. Click on Create Validation Rule.

  4. In the modal window, define the following:

    • Amount Threshold: Enter the amount above which validation is required. Remittances exceeding this amount will trigger the validation process.

    • Validator User: Choose the Agicap user who must validate these remittances. Note: This user should have the right to Prepare Payments.

  5. Click Save to create the validation rule.

Managing Multiple Validation Rules 🔀

You can set up multiple validation rules for different amount thresholds and assign different validators. For example:

  • Rule 1:

    • Amount: €100

    • Validator: User A

  • Rule 2:

    • Amount: €1000

    • Validator: User B

In this scenario:

  • Remittances over €100 but less than €1000 require validation from User A.

  • Remittances over €1000 require validation from User B.

If Rule 2 is deleted, User A will validate all remittances over €100, including those exceeding €1000.

How to Delete a Validation Rule ❌

  1. Navigate to AP Settings in your Agicap account.

  2. Select Payment Validation Rules.

  3. Locate the validation rule you wish to delete.

  4. Click on the Delete button next to the rule.

  5. Confirm the deletion when prompted.

Important: Validation rules cannot be edited. If you need to change a rule, delete it and create a new one with the updated details.

Things to Keep in Mind 🧐

  • Not Retroactive: Validation rules apply only to remittances created after the rule is set up.

  • User Permissions: The validator must have the right to Prepare Payments in Agicap.

💡 Tips

  • Regularly review and adjust your validation rules to match your current payment processes.

  • Assign validators who are readily available to prevent delays in payment approvals.

  • Communicate with your team about the validation rules in place to ensure smooth operations.

Q&A ❓

What happens if the validator doesn't have the "Prepare Payments" permission?

The validator must have the Prepare Payments permission to validate remittances. Without it, they won't be able to approve payments, which could delay your payment processing.

Can I have a validation rule without specifying an amount threshold?

An amount threshold is required when creating a validation rule. If you want all remittances to require validation, set the amount threshold to €0.

Are validation rules applied to remittances already in progress when the rule is created?

No, validation rules are not retroactive. They apply only to remittances created after the rule is established.
