How to Import Your Forecast from an Excel File into Agicap?

Importing your forecast data from Excel directly into Agicap saves you time and enhances accuracy in your cash flow planning.

Steps to Import Your Forecast

  1. Download the Template

    • Click on the three lines in the top right corner of Agicap.

    • Select "Import data", then choose "Forecast" as the import type.

    • Download the custom-made template provided.

  2. Complete the Template

    • Fill in the template with your forecast data.

    • Each line corresponds to a category, and you should enter the desired forecast in the column of the corresponding month or offset.

    • Ensure that forecasts are positive numbers without any currency symbols or other signs.

  3. Import the Completed File

    • Return to the "Import data" section.

    • Select "Forecast" as the import type.

    • Upload your completed file.

    • ⚠️ Note: The new forecast will overwrite the current one, so ensure you have a backup if needed.

Importing Forecast into Alternative Scenarios

To import forecasts into alternative scenarios:

  • Prepare the Template

    • The template will include a tab for each of your scenarios.

    • If it doesn't, add new tabs manually, naming each tab exactly as your scenario's name in Agicap.

  • Fill in Each Scenario's Tab

    • For each scenario, enter your forecast data in the corresponding tab.

    • Ensure that the tab names match the scenario names in Agicap exactly.

  • Import the File

    • Go to "Import data", select "Forecast", and upload your file.

    • The forecasts will be imported into the corresponding scenarios.

💡 Good to Know

  • If a tab is left empty, nothing will change in Agicap for that scenario.

  • Any tab with a name not matching any scenario will be ignored during the import.

  • If you want to import forecasts only into the main scenario, ensure you have a tab named "Main Scenario" (adjust the name based on your language settings).

  • When scenarios are linked, importing forecasts into a parent scenario may affect its child scenarios according to scenario sync rules.

  • Each scenario is treated independently during the import process.

Resetting Forecast Before Import

You may want to reset your forecast data before importing new data.

  • Resetting Deletes Future Forecast Values

    • Selecting the reset option will delete all future forecast values (starting from Offset 0) until the end of time.

    • This applies only to categories present in your import file.

    • Memos (notes) are only deleted on cells that remain empty after the import.

  • How to Reset Forecast

    • When importing, tick the "Reset forecast before import" checkbox if you want to reset the forecast for the categories in your file.

  • Important Notes

    • If the category is present in your Excel file, it will be reset, whether the Excel line is empty or filled with forecast values.

    • Formulas will not be deleted; only the formula-based values are removed.

    • Bank Forecasts: We only reset the forecast of the banks you name in your file.

    • Scenarios: Each scenario is reset independently. We check which categories are present in each tab separately.

💡 Keep in Mind

  • Resetting the forecast of a parent scenario will reset the forecast of all its linked scenarios according to the usual scenario synchronization rules. So, if you reset the main scenario, all values that were unmodified in the alternative scenarios will be reset too.

How Can I Swap Scenarios?

If you wish to exchange an alternative scenario with the main scenario, you can do so by exporting and importing the forecast data.

Example:

Suppose you have the following scenario structure:

  • Main Scenario

  • Scenario A

  • Scenario B

Instructions:

  1. Export the Forecast

    • Use the raw data export feature to export the forecast data from all scenarios.

  2. Change the name of the tab

    • Change the name of the tab in the Excel file to Main Scenario (Scenario A becoming Main Scenario)

    • In all tabs (Main Scenario, Scenario A, Scenario B), fill all empty cells with zeros.

    • This ensures that empty cells are not skipped during import and prevents unwanted data inheritance from parent scenarios.

  3. Reimport All Tabs

    • Import the updated Excel file back into Agicap.

    • Even if you don't need to modify Scenario B, include it in the import to maintain data consistency.

💡 Tips

  • Ensure Tab Names Match Exactly: Spreadsheet tabs must match exactly the scenarios' names to be imported.

  • Positive Numbers Only: Enter positive numbers without any currency symbols or signs.

  • Backup Your Data: Before importing, consider backing up your current forecast data.

  • Handling Decimals: If your data has too many decimals, the import might fail. Use the ROUND() function in Excel to limit the number of decimals.

What happens if I have multiple projects?

When downloading the forecast import template, it will only contain your first project. If you need to import forecast data for multiple projects, you can export your forecast instead. The export will include all projects; you can modify the values and re-import the file.

Will importing an empty forecast reset my current forecast?

If you wish to reset the entire forecast by importing a fully empty template, you may receive an error message. However, the forecast will actually be reset. Remember to select the "Reset forecast before import" option during the import.

What if I have duplicate scenario names?

If some scenarios have the same name, you'll need to change the names to make them unique before you can download and use the template effectively.

How does the reset option affect memos and formulas?

When you use the reset forecast option, memos are only deleted on the cells that remain empty after the import. Formulas will not be deleted; only the formula-based values will be removed.
