How to Mark Transactions as Late or Not Late in Agicap?

Keeping track of overdue expected transactions is crucial for accurate cashflow planning. Agicap allows you to mark expected transactions as late, helping you monitor payments that haven't occurred as scheduled.

What Is a Late Transaction?

An expected transaction becomes late when its payment date is in the past (at least yesterday). This indicates that the expected payment hasn't been made on the scheduled date.

Marking a Transaction as Late

To mark an expected transaction as late:

  1. Navigate to the transaction you wish to mark as late, either on the Transactions page or within the Cashflow Plan.

  2. Open the transaction details panel by clicking on the transaction.

  3. Click on the Mark as late button.

  4. Set the Original due date. This is the date on which the payment was originally expected.

    Only expected transactions can be marked as late.

Marking a Transaction as Not Late

If you've marked a transaction as late by mistake or the payment issue has been resolved, you can undo this action:

  1. Open the late transaction's details panel.

  2. Click on the Mark as not being late button (this replaces the Mark as late button).

  3. Confirm the action. This will remove the Original due date from the transaction.

    Note: Once the Original due date is deleted, it cannot be retrieved.

Understanding Tags

  • Date changed: When you mark a late expected synchronized transaction as not being late, the tag Date changed is added to the transaction. This helps you track modifications to the transaction's payment date.

💡 Tips

  • Automatic Payment Date Update: If an expected transaction is not late and has a payment date of today, Agicap automatically updates its payment date to the new current day each following day. If the transaction becomes late, the original payment date is saved as the Original due date.

  • Visual Indicators:

    • Positive Amounts:

      • Inflow: Displayed in green (e.g., 1000€ increases your cash balance by 1000€).

      • Outflow: Displayed with a minus sign in red (e.g., -1000€ decreases your cash balance by 1000€).

    • Negative Amounts:

      • Inflow: Displayed with a minus sign in purple (e.g., -1000€ decreases your cash balance by 1000€).

      • Outflow: Displayed in purple without a minus sign (e.g., 1000€ increases your cash balance by 1000€).

Why can't I mark a paid transaction as late?

Only expected transactions can be marked as late because they represent payments that are scheduled but not yet completed. Paid transactions have already occurred and cannot be overdue.

What happens if I change the payment date of a transaction?

  • For paid synchronized transactions, changing the payment date adds the tag Date changed to the transaction.

  • No tag is added if you change the payment date of a transaction from a manual bank account.

Can I recover the Original due date after marking a transaction as not late?

No, once you mark a late transaction as not being late and the Original due date is deleted, it cannot be retrieved.
