Understanding User Rights in Accounts receivable

In Accounts receivable, user rights help improve security by allowing you to control access to specific features. There are two types of user rights:

  • Send emails/letters and modify templates

  • Assign users to clients

This article focuses on managing rights to send emails and letters, and to modify templates.

Managing Rights to Send Emails, Letters, and Modify Templates

By configuring user rights, you can restrict certain features from non-admin users to enhance security. ⚙️

How to Configure User Rights

  1. Navigate to Settings: Click on the ⚙️ Settings in the vertical navigation bar.

  2. Select Users and Permissions: Go to Users and Permissions.

  3. Adjust User Rights: For each user, you can enable or disable the following rights:

    • Send emails

    • Send letters

    • Modify templates

By default, admin users have all three rights activated, while non-admin users have none.

Why These Rights Are Important

  • Prevent fraud: Restricting the ability to send emails helps prevent invoice collection fraud, such as fraudulent IBAN changes in the reminders sent. 🚫

  • Protect company image: Controlling who can modify templates ensures that inappropriate content is not sent to clients. 🛡️

  • Control costs: Limiting who can send letters through our partner MySendingBox prevents unnecessary expenses. 💰

💡 Note: Users without these rights can still activate automations on clients or invoices and download letter PDFs from the To-Do Actions page.

Assigning Users to Clients

Assigning users to clients allows you to control which internal users have access to specific clients. This setting can be managed from the Accounts receivable settings page under Assign Internal Users.

💡 Tips

  • Admin Privileges: Admin users can restrict rights for other admin users, is so the other admin will be demoted to his right of admin

  • User Invitations: Rights can only be changed if the user has already accepted the Agicap invitation.

Can non-admin users send automated emails?

Yes, non-admin users without the "Send emails" right can still activate automations on clients or invoices.

How do I restrict a user's ability to send letters?

Go to Users and Permissions settings and disable the "Send letters" right for that user. This will prevent them from sending letters through MySendingBox.

Can a user without the "Modify templates" right edit templates?

No, users without this right cannot create or edit email templates.

What if a user hasn't accepted the Agicap invitation yet?

Rights can only be changed if the user has already accepted the Agicap invitation.
