How to Invite a User to an Entity

To invite a user to your entity, follow these steps:

  1. Navigate to the Users & Permissions Page:

    • If you are an Admin:

      • Go to TreasuryUsers & Permissions.

      • Here, you can invite users to one or multiple entities, manage permissions, and resend or delete invitations if necessary.

    • If you are a Member:

      • You can only view the entities you are a member of and cannot invite new users.

  2. Click on "Invite User":

    • Look for the "Invite User" button and click on it.

  3. Follow the Three-Step Invitation Flow:

    • Step 1: Fill in User Information:

      • Enter the email address of the person you want to invite.

      • Enter the job title of the invitee. (See why this is important below.)

    • Step 2: Define Entities:

      • Choose whether to invite the user to all entities or a selection of entities.

      • Note: You cannot invite a user to an entity where an invitation is already pending or where the user is already a member.

    • Step 3: Define Permissions:

      • Assign the appropriate access level for the user. You can either:

        • Choose fully custom rights for the user.

        • Assign the administrator profile for full access.

  4. Send the Invitation:

    • Click "invite". The invitee will receive an email with instructions to join Agicap.

Note: If you need to modify a pending invitation, you must delete it and restart the process.

Why Entering the Job Title is Mandatory

When inviting a user, you must enter their job title. This helps us identify key roles within your organization, such as CEOs, CFOs, or Finance Managers. Knowing when these roles change, allows us to provide tailored support and ensure Agicap continues to deliver value to your team.

Inviting Card Holders 💳

If someone needs access only to the Card Expenses feature without other Agicap functionalities, invite them as a Card Holder.

To Invite a Card Holder:

  1. Go to the Card Holders Tab in Card Expenses.

  2. Click on "Invite Card Holder".

  3. Fill in the Invitation Form:

    • Personal Information: Provide the card holder's details for their Swan account setup.

  4. Send the Invitation:

    • The invitee will receive an email from Agicap.

  5. Invitee Completes Setup:

    • After clicking "Join Platform" in the email, they will create their Agicap password.

    • They will confirm their information and set up a 6-digit code for Swan authentication.

Result: The card holder's Agicap access and Swan account are created in one go.

💡 Tips

  • Only admins or users with the appropriate permissions can invite new users or card holders.

  • If you're not an admin and need to invite someone, contact your entity admin for assistance.

  • Ensure the invitee's email and job title are correct to streamline the onboarding process.

  • Use the new entity filter on the Users & Permissions page to get a clearer view of members for each entity.

New Features for User Invitations

We’ve introduced several updates to streamline the user invitation process:

  1. Invite Users to Multiple Entities in One Go:
    You can now invite a user to all entities or a selection of entities in a single invitation. This saves time and ensures a smoother onboarding process.

  2. Entity Filter for Better Visibility:
    A new entity filter has been added to the Users & Permissions page. This allows admins to easily view and manage members for specific entities.

  3. Resend or Delete Invitations:
    Bulk actions are now available to resend or delete invitations directly from the Users & Permissions page.

  4. Permissions Stored for Future Activation:
    If certain features are not yet active for an entity, the permissions assigned during the invitation process will be stored. When the feature becomes available, the user will automatically gain the assigned rights.

Limitations:

  • Currently, users can only be invited one by one. Bulk invitations are not yet supported.

I invited a user, but they haven't received the email. What should I do?

Ask them to check their spam or junk folder. If they still can't find it, you may need to resend the invitation.

Can I invite multiple users at once?

Currently, users can only be invited one by one to each entity.

You can now invite a user to multiple entities in one go by selecting either all entities or a specific selection of entities during the invitation process.

How do I resend an invitation?

You can resend an invitation by:

  1. Accessing the details of the specific invitation and resending it.

  2. Using the bulk actions available on the Users & Permissions page to resend multiple invitations at once.
