Important Clarification ❗
It is not possible to delete a user account in Agicap. However, you can:
Remove a user from an entity to revoke their access.
Block a user, which replaces their email address with a generic one, preventing them from logging in.
Removing a User from an Entity 🧹
In the App
As an admin user, you can remove other users from your entities: you can proceed to remove them from the entity from your settings > "Users and permissions" > then click on "Delete"
Note: Admin users can remove admin rights from other admins (and themselves). Once demoted, these users can be removed from the entity. 🤺
Handling Admin Users
Admin users cannot be removed directly. To remove an admin user:
Demote the admin user: An admin can remove admin rights from other admins or themselves.
Remove the user: Once demoted, the user can be removed from the entity as described above.
SSO and User Access 🔐
If your company uses Single Sign-On (SSO), deactivating an employee's user account within your own authentication system will automatically revoke their access to Agicap, as authentication is delegated to your identity server.
If the user tries to log in using a password, they will receive an error message prompting them to sign in with SSO.
If the user attempts to reset their password, an error message will state that SSO is mandatory for your company.
If the user attempts to log in using SSO, your identity server will deny access.
User Access Across Agicap Platforms
Removed from one entity: If a user is removed from one of multiple entities, they will still have access to the remaining entities.
Removed from all entities: If a user is removed from all entities but not blocked, they can still log in but will see an empty state page asking them to disconnect.
Spend as Employee App: If a user is removed from the Spend as Employee app, they will no longer be able to access it.
💡 Tips
Proceed with caution when blocking users: Blocking a user cannot be undone.
Ensure you remove user rights before removing them: This is required to remove a user from an entity.
Admin users need to be demoted first: Admin rights must be removed before an admin user can be removed from an entity.
Q&A ❓
Can I remove myself as an admin user?
Yes, admin users can demote themselves by removing their own admin rights. After demotion, another admin can remove you from the entity.
What happens if I remove a user from one entity?
The user will lose access to that specific entity but will retain access to any other entities they are associated with.
How do I handle a paying user who needs to be removed?
If the user is a paying user on a company with an active subscription, you need to transfer the paying user status to another user before removing them. If they are the only user left, the entity needs to churn, be downsold, or be designated as a trash entity.
